Dialmind Phone for Zoom — user documentation

Dialmind Phone lets a Dialmind admin connect a customer’s Zoom Phone account so Dialmind can list Zoom Phone numbers and (with authorized call-handling scopes) set forwarding to the Dialmind AI number.

This app is admin-managed: a Zoom account admin authorizes it for the Zoom account.

Shipped in the Dialmind admin UI today: OAuth connect, List numbers, and Set forward to Dialmind AI (auto receptionist business hours → Dialmind inbound DID), plus optional Clear/restore.

Adding the app

Prerequisites

  • A Zoom account with Zoom Phone enabled
  • A Zoom user who can authorize admin-managed Marketplace apps (typically a Zoom account admin)
  • An active Dialmind organization
  • A Dialmind platform admin (ROLE_ADMIN) who can open Admin → Zoom Phone (Marketplace reviewers may use a limited review login)

Steps

  1. Sign in to Dialmind as a Dialmind admin: https://dialmind.com/login
  2. Go to Admin → More → Integrations → Zoom Phone, or open https://dialmind.com/admin/zoom-phone
  3. Click Add connection, select the customer organization, and create the connection (one Zoom Phone connection per organization)
  4. Copy the customer connect link Dialmind shows (valid for 14 days; after the Zoom admin completes Allow, that link cannot be reused—generate a new one if needed)
  5. Have a Zoom account admin open that link (path shape: /zoom/oauth/start/{token})
  6. Sign in to Zoom if prompted, review the requested permissions, and click Allow
  7. Zoom redirects to Dialmind at /zoom/oauth/callback. On success, Dialmind shows a connected confirmation page. In Dialmind admin, the connection status should be Connected, and the authorizing Zoom account email is stored when Zoom returns it on the profile call

Troubleshooting (adding)

Issue What to try
Connect link expired or invalid In Dialmind admin, open the connection and click Generate new link (or Generate customer link)
Zoom says you lack permission Use a Zoom account admin, or ask your Zoom admin to authorize
Landed on Dialmind but still “Not connected” Confirm you completed Allow on Zoom; retry with a fresh link; contact support
Wrong Zoom account Disconnect in Dialmind (see Removing), then generate a new link and reconnect with the correct Zoom admin
Zoom email shows “—” while Connected Connection can succeed even if the Zoom profile lookup fails; tokens are still stored. Retry connect or contact support if this persists

Usage

Connect Zoom Phone

Use case: Authorize Dialmind to access the customer’s Zoom Phone account.
Prerequisites: Valid customer connect link; Zoom account admin.
Result: Connection status Connected; Zoom account id/email stored when Zoom returns them; OAuth tokens stored encrypted and refreshed as needed.

List Zoom Phone numbers

Use case: See Zoom Phone numbers on the connected account for telephony setup.
Prerequisites: Connected Zoom Phone link; Dialmind admin access to that connection.
How: Open the connection → List numbers.
Result: Live numbers from Zoom for that request (review in Dialmind). Numbers are not saved as a separate Dialmind phone-number inventory table.

Set forward to Dialmind AI

Use case: Forward the customer’s Zoom Phone auto receptionist (business hours) to the Dialmind AI number so inbound calls reach Dialmind.
Prerequisites: Connected Zoom Phone link; Dialmind admin access; a Dialmind inbound DID in E.164; an auto receptionist on the Zoom account.
How: On the Zoom Phone connection page: List numbers → enter/save the Dialmind AI DID → pick the auto receptionist → Set forward to Dialmind AI. Optional Clear restores the previous business-hours snapshot (does not call Zoom AR DELETE).
Result: Zoom AR business hours forward to the Dialmind number. Disconnect revokes Dialmind’s Zoom tokens but does not automatically undo Zoom routing—Clear first if you need Zoom left clean.

Generate / regenerate connect link

Use case: Replace an expired or unused customer connect link.
How: Generate customer link / Generate new link. Previous unused link stops working. New link valid 14 days; one-time after Allow.

Disconnect

Use case: Revoke Dialmind’s Zoom Phone access.
How: Disconnect on the connection page (no confirm dialog).
Result: See Removing below.

Removing the app

Option A — Disconnect from Dialmind (recommended)

  1. Sign in to Dialmind as a Dialmind admin
  2. Open https://dialmind.com/admin/zoom-phone and open the connection
  3. Click Disconnect

What happens

  • Dialmind revokes the OAuth token at Zoom (refresh token if present, otherwise access token). If Zoom revoke fails, Dialmind still clears local credentials
  • Dialmind clears stored encrypted Zoom credentials, Zoom account id, Zoom account email, connected-at time, and connect-token fields for that connection
  • The organization connection row remains, so an admin can generate a new connect link later
  • Success message: “Zoom Phone access was removed. Generate a new link to connect again.”

Option B — Remove from Zoom App Marketplace

  1. Sign in to Zoom and open the Zoom App Marketplace
  2. Go to ManageAdded Apps (or search for Dialmind Phone)
  3. Select Dialmind PhoneRemove → confirm

Implications of de-authorization in Zoom only

  • Dialmind can no longer call Zoom Phone APIs successfully with the old tokens
  • Dialmind does not currently implement an app.deauthorized webhook, so the Dialmind admin UI may still show Connected until an API call fails or an admin clicks Disconnect in Dialmind
  • For a clean teardown, disconnect in Dialmind and remove the app in Zoom

Data Dialmind removes or stops using (on Disconnect)

  • Encrypted Zoom OAuth credentials for that connection
  • Stored Zoom account id and email on that connection
  • Connect-token fields used for the customer link
  • Connected-at timestamp
